Freedom Ha Giang Loop ("Freedom", "we", "us") runs the website freedomhagiangloop.com. To get you onto a bike, into a homestay and onto the right bus, we need a small amount of personal information from you. This page explains what we collect, why we need it, where it is stored, who can see it, and how you can look at it, correct it or have it deleted. It covers everything you do on this website and every booking you make with us over WhatsApp or email.
1. What we collect and why
We ask only for what a tour genuinely needs. Depending on how you use the site, we may hold:
- Your full name, as written in your passport, so that the homestays, the bus company and the insurance included in your tour all list the right person.
- Your WhatsApp number and email address, so we can confirm your booking, send pick-up instructions and reach you quickly if anything changes.
- Your passport number. Vietnamese law requires accommodation to register every foreign guest who stays overnight. Our homestay families need your passport details to do this, and we use the same details for the travel insurance included in your tour.
- Booking details: the tour and riding option you chose, your start date, pick-up point and bus timing, any add-ons, and anything you write in the note field (dietary needs, licence questions, who you are travelling with).
- Your Google account name, email address and profile picture, if you sign in with Google. We use them to create your account, show you your bookings and reviews, and put your name and picture next to reviews you choose to publish. We never see your Google password.
- Reviews and photos you post: the rating, title and text of the review and any photos you upload with it.
We use this information to:
- confirm and manage your booking and record your deposit and balance payment;
- register you with the homestay and, where the law requires it, with the local authorities;
- book your pick-up bus and arrange the insurance included in your tour;
- brief your guide (name, riding option, and any dietary or health notes that matter on the road);
- answer your questions, handle changes, and resolve any complaint or dispute;
- keep the website and our bookings safe from fraud and misuse, and comply with Vietnamese law.
By sending us your details, whether through the booking form, on WhatsApp, by email or by signing in with Google, you agree that we may collect, store and use them for the purposes on this page.
We do not sell, rent or trade your personal information to anyone, for any reason.
If a Vietnamese authority asks for information about a guest in a way the law allows, we have to provide it. The everyday example is the guest registration that homestays file with the local police.
Please do not try to break into, scrape, overload or alter this website or the data behind it. Attempts to do so will end your booking and your account, and we will report them to the authorities where appropriate.
2. How we use it day to day
Your information is used inside Freedom's small team for the ordinary work of running your tour:
- sending your booking confirmation and, closer to the date, your pick-up time and place;
- telling your guide who is in the group and what they need;
- confirming that your deposit and balance have arrived;
- showing your bookings and reviews on your account page when you sign in;
- contacting you about your trip before, during and after the Loop.
We do not put you on a mailing list. The messages you receive from us are about your booking, unless you have asked us for something else.
3. Cookies and browser storage
This website keeps very little in your browser:
- a sign-in session, so you stay logged in after signing in with Google;
- your registration list (the tours and add-ons you have selected before booking) and, if the account system is unavailable, a local copy of your booking. Both live in your browser's local storage and never leave your device unless you submit a booking.
Nothing here is used for advertising and nothing is shared with advertisers. Videos embedded from YouTube and links to Google Maps are provided by Google, and Google's own privacy policy applies when you use them.
Your booking code shows the details of that booking to anyone who types it into the confirmation page, so please keep it to yourself.
4. How long we keep it
We keep your information until you ask us to delete it. The exceptions are records we are legally required to keep, such as accounting records of payments, which we keep for the period the law sets and then remove. Published reviews stay online until you ask us to take them down.
5. Where it is stored and who can see it
Bookings, accounts and reviews are stored in Supabase, a managed database and file-storage service, and are encrypted in transit. Review photos are stored in a public folder so they can be shown on the site; everything else can be read only by you (your own records) and by Freedom's administrators.
Beyond our own team and guides, these parties may receive part of your information, and only the part they need:
- Homestay families: your name and passport details, for the legally required guest registration.
- Bus companies: your name, phone number, pick-up point and date, so they can collect you.
- The insurer behind the travel insurance included in your tour: your name, passport details and tour dates.
- Supabase (hosting and storage) and Google (sign-in), which process data on our behalf under their own security commitments.
None of these parties may use your information for anything other than delivering your tour.
6. Who is responsible for your data

7. Seeing, correcting and deleting your data
- See it: when you sign in, your account page lists your bookings and reviews. For anything else, email us and we will send you what we hold.
- Correct it: message us on WhatsApp or by email with the change (a mistyped passport number or a new phone number, for example) and we will update it.
- Delete it: email hello@freedomhagiangloop.com from the address you booked with, or message us on WhatsApp from the number you booked with, and ask us to delete your account and personal information. We confirm by reply once it is done. If the law obliges us to keep a particular record for longer, we tell you which one and for how long.
If you ask us to delete your data before a booked tour has taken place, we will contact you first, because without your details we cannot run the booking.
8. Questions and complaints about privacy
If you have a question or a concern about how we handle your information, contact us first at hello@freedomhagiangloop.com or on WhatsApp. We reply within 24 hours and follow the steps in our Complaint Resolution Policy. If you are still not satisfied, you have the right to raise the matter with the Vietnamese authority responsible for personal data protection.
9. Changes to this policy
When we change this policy we update the date at the top of the page. Changes that affect an existing booking are also sent to you by email or WhatsApp.
