Payment Policy

Booking a Loop with Freedom Ha Giang Loop ("Freedom", "we", "us") should feel as simple as the ride itself. This page explains how you pay, when, and what you get from us at each step. It applies to every tour sold on freedomhagiangloop.com and should be read together with our Refund, Cancellation & Postponement Policy.

I. How payment works

There is no card checkout on this website and no money changes hands on it. A booking runs in four steps.

1. Book on the website

Choose your Loop (2, 3 or 4 days), your option (Easy Rider, ride by yourself, or seat behind a friend), your start date, the number of riders and any add-ons, then send the booking. You get a booking code right away. At this point nothing has been charged and your spot is not yet held.

Please double-check the WhatsApp number and email address you enter. They are the only way we can reach you.

2. Confirmation on WhatsApp

We check that a guide, bikes and homestay beds are free on your date and confirm your booking on WhatsApp, usually within a few hours and at most within 24 hours during our opening hours (7am - 10pm, Vietnam time, GMT+7). In peak season it can take a little longer. The confirmation sets out:

  • your Loop, option, start date and number of riders;
  • the total price in VND;
  • the deposit amount and the deadline for paying it;
  • our bank details for the deposit;
  • your pick-up point and time, if your booking includes pick-up;
  • what to bring and where to find us in Ha Giang.

3. Deposit by bank transfer

Your spot is held once the deposit has arrived. Pay it by bank transfer to the account we send you on WhatsApp. We never publish bank details on the website and we never ask for card numbers in chat, so if a message asking for either does not come from our WhatsApp number, it is not from us.

Send us a screenshot of the transfer together with your booking code, and we reply with a written receipt as soon as the money is in. Transfer charges, including intermediary bank fees on international transfers, are paid by you; the amount we receive must equal the deposit stated in your confirmation. If the deposit has not arrived by the deadline in your confirmation, the booking may be released to other riders. Bookings made close to the start date may need the deposit the same day so we can hold your guide and bike.

4. Balance in Ha Giang, before the Loop

The remaining balance is paid at our base in Ha Giang City before the Loop leaves, at the latest at the briefing on the morning of departure. You can pay:

  • in cash, in Vietnamese Dong;
  • in cash, in US Dollars, converted at the rate we confirm with you on the day;
  • by bank transfer to the account in your confirmation, with the transfer completed before the briefing.

Once the balance is settled we hand out helmets and gear, and you ride.

Paying by card

We cannot promise card payment. If you need to pay by card, ask us on WhatsApp before you travel. We will tell you whether it is possible for your booking and quote any processing charge in writing before you pay anything.

Paying in full in advance

If you would rather settle everything before you travel, you can transfer the balance to the same account at any time before departure. Refunds on bookings paid in full follow the Refund Policy.

II. Payment terms and conditions

Deposit. The deposit is a fixed share of the tour price, stated in VND in your WhatsApp confirmation. It is deducted from the total and is non-refundable in any circumstances. If you postpone your Loop under the Refund Policy, the deposit moves with you to the new date.

Final payment. The balance is due before the Loop starts, as described above. A booking whose balance is not paid when due may be cancelled, and the deposit is not returned.

Currency. All prices on this website and in our confirmations are in Vietnamese Dong (VND). US Dollar cash is accepted for the balance as a convenience; the exchange rate is the one we confirm with you on the day of payment, and any change is given in VND.

Prices. Prices on the website may change without notice. The price stated in your written confirmation is the one that applies to your booking, and it changes only if you change the booking (date, option, number of riders or add-ons).

Receipts and records. Every payment is acknowledged in writing on WhatsApp. Keep your transfer screenshots and our receipts until your Loop is over; together with your booking code they are the record of our agreement.

If you hear nothing from us. Your booking is secure only once we have confirmed it in writing. If you have sent a booking or a deposit and have had no reply within 24 hours, message us on WhatsApp at +84 973 910 970 or email hello@freedomhagiangloop.com straight away.

What we are not responsible for. Freedom is not responsible for delays or losses caused by:

  • a wrong WhatsApp number or email address entered at booking;
  • not telling us that a confirmation or receipt has failed to arrive;
  • a transfer sent to any account other than the one in your WhatsApp confirmation;
  • refusing a booked service without telling us in advance.
